Northwest Permanente, P.C. is currently seeking a "Position Title" physician to join our growing medical group.

We currently have 2 openings for Clinician Scheduling Manager. The Clinician Scheduling (CS) Manager provides leadership and direct support for a CS team. Assures exceptional service, quality, and accuracy of clinician schedules and templates, access support, and payroll data. Fosters and cultivates necessary processes to resolve service issues, which includes establishing partnerships with the medical services and offices operations. Manages team performance in a highly complex, fast paced environment; accountable for coordinating all team functions, including the implementation of regionally consistent practices, processes, and protocols to meet access, payroll, and clinical department needs. Achieves excellence in employee/clinician satisfaction and workplace safety.
Major Responsibilities / Essential Functions
Directly and indirectly, and through subordinate team leads, manages and coordinates all team activities necessary to provide excellent customer focused support.
Manages and coordinates the implementation of strategies, services and activities for their team within budgetary guidelines, monitors and controls expenditures and staffing levels.
Selects, coaches, develops and performance manages staff in collaboration with physician and clinic administrator partners and in compliance with requirements of EEO/AA goals and personnel policies of the organization.
Cultivates and maintains a progressive and dynamic culture within their team and maintains competent and motivated staff.
Ensures, monitors, and measures customer satisfaction and quality of service by establishing and evaluating mechanisms and programs to capture customer satisfaction.
Develops process improvements to drive efficiency, effectiveness and quality within CS and multi-disciplinary care teams across the continuum of care.
Ensures adoption through training and reinforcement of procedures designed to impact access measures and improvements as appropriate, i.e., % booked to standard and slot utilization.\
Acts as a liaison between physician and operational leaders, payroll, care teams, back office staffing, appointing and access management to ensure effective communication and rollout of CS services.
Acts as a clinician/department advocate when necessary.
Sponsors the engagement of their team members with clinical/hospital operations and ancillary services to drive improvements and ensure the day-to-day needs of the business are being met.
Supports regional projects and committees in conjunction with their Sr. Manager and operational leaders.
Scheduling accuracy oversight
Performs quality audits on schedules to ensure accuracy by guiding team members to understand and correct deficiencies, and to consult and advise operational leaders on improvements.
Ensures schedules and timecards follow all payroll requirements.
Stake holds and prepares assigned team(s) for all scheduling software upgrades and enhancements in partnership with the associated system management teams.
Bachelor's degree in business administration, health care administration, or related field: or an Associate's degree in in those fields with two (2) years of directly related experience; or four (4) years of directly related experience.
Minimum Work Experience
Minimum five (5) years of clinical, staff scheduling, or related operational experience.
Minimum three (3) years of progressive management experience or in a leadership role (such as a management, or lead function).
Knowledge of healthcare delivery systems.
Strong analytical skills with attention to detail
Ability to lead and implement change management and process improvement activities.
Ability to understand and utilize data to improve performance.
Ability to apply process improvement and project management principles.
Ability to lead a team through performance management, coaching, and development with a focus on achieving departmental goals.
Ability to build partnerships with the physician group, organized labor representatives, and peers to create a culture of commitment to patient focused service, clinician and nursing practices, innovation, compliance, and integrity.
Ability to work in a fast pace, high touch environment.
Excellent collaboration, organizational, time management, customer service and problem solving skills, and the ability to work accurately and meet deadlines.
EPIC certification within one (1) year in the role
Bachelors degree in business administration, healthcare administration, or related field.
Preferred Work Experience and Qualifications
Five (5) years of progressive management experience
Eight (8) years of clinical, staff scheduling, or related experience
Experience with Lightning Bolt
Experience with EPIC
Knowledge of Northwest Permanente access strategies and operating plans
