Responsible for performing all Financial and Administrative tasks for the department that relate to fiscal operations including invoice tracking and problem solution, requisition processing, inventory updates and preparation of management reports, including developing and generating ad hoc requests. Assets the Information System staff with procurement and payment of project related equipment, software and services.
Reports to the Director, Fiscal Management and Contract Support.
MAJOR DUTIES AND RESPONSIBILITIES:
*1. Reviews invoices to determine the appropriate accounting unit and expense account and prepares for final authorization.
*2. Resolves any discrepancies that may delay processing. This may require coordination between vendors, IS management and/or Materials Management.
*3. Keeps track of all operating expenses for fiscal projects and assures manpower and costs are recorded appropriately to each project.
*4. Prepares quarterly budget vs. actual reports for IT Management, advising them of areas of concern based on Financial and IT policies.
*5. Aids in the preparation of the budget including participating in review sessions, preparing internal reports and initiating new report formats and file designs through the use of Excel and a report writing package. Maintains all documentation throughout the process, updates all files and reviews all information with IT Directors.
*6. Retains the information from the invoices and records cost, department and project.
*7. Monitors and updates, as necessary, on-line hardware and software departmental inventory system to ensure appropriate financial data is captured (this includes purchase order numbers, accounting units, vendor information and other IT requirements).
*8. As requested, prepares requisition for the purchase of department items.
9. Occasional typing of report cover letters, staff notices, file labels, purchase order attachments, etc.
10. Performs all other duties as directed.

COMPETENCIES AND SKILLS:
Demonstrated knowledge of computer software including Excel, Word, GroupWise, a report write and Lawson.
Knowledge of IT operations and financial processes.
Demonstrated ability to work with coworkers and effectively interact with other personnel. Must maintain a high regard for confidentiality.
EDUCATION AND EXPERIENCE:
Associate or Bachelor's degree required.
Two (2) years of I.S. or financial experience preferred.
